Privacy Policy

The IntelliScan Standards Institute (“the Institute”, “we”, “us”) sets standards for AI data operations and certifies professionals, trains learners through the AI Campus, and partners with universities. Doing that means handling your personal information. This policy explains what we collect, why, who sees it, how long we keep it and the rights you have. We process personal data in line with the Nigeria Data Protection Act 2023 (NDPA) and, where applicable, the data-protection laws of the countries our learners live in.
Our plagiarism and originality-verification service, Intelliscan Verify, has its own detailed privacy policy, retention policy and security page, because it handles students' academic work.
1. What we collect and why

2. Exam proctoring — a special note
Online proctoring involves your camera and your identity document, so we are explicit about it:
- You are told before the exam starts that recording is on, and you must consent to continue. If you prefer, you can request an in-person or supervised alternative where one is offered.
- Identity checks are performed by a licensed identity-verification provider that matches your document (e.g. NIN slip, passport, driver's licence) with a live photo. We receive the match result and a reference; we do not keep a copy of your document beyond what is needed to record that the check was passed.
- Recordings are reviewed only by authorised Institute examiners, only where the AI integrity flags or a complaint make review necessary. They are never published or shared with third parties except where required by law.
- Recordings and flags are kept for up to 12 months after your result is final (to allow for appeals), then deleted. The result and the audit record (which does not contain video) are kept with your certificate record.
3. Who can see your data
- Institute staff — role-restricted; examiners, trainers and administrators see only what their role needs.
- Your sponsoring institution or employer — if a university, government programme or employer enrolled or sponsored you, we may confirm your enrolment, attendance and results to them.
- Certificate verifiers — anyone entering your certificate ID on our Verify page sees your name, certification and status. That is what makes the credential trustworthy.
- Service providers — our web host (GoDaddy), our learning platform host, Paystack (payments), our identity-verification partner (exam ID checks), Google Analytics (anonymised usage statistics), our email provider, and — for AI-assisted tools such as the ADBOK Advisor — AI providers (Anthropic / OpenAI), which receive only the question you type. Each provider is bound by data-processing terms.
We do not sell personal data or share it with advertisers.
4. Legal basis
Contract (delivering the programme, exam or membership you signed up for), consent (marketing emails, proctoring, cookies/analytics — withdrawable at any time), legitimate interest (security, preventing exam fraud, maintaining the integrity of certificates) and legal obligation (financial records).
5. How long we keep it

6. Cookies and analytics
We use essential cookies to keep you signed in, and Google Analytics 4 (IP addresses anonymised, advertising features off) to understand how the site is used. A notice on your first visit lets you opt out of analytics; you can also block cookies in your browser.
7. Security
HTTPS on every page, hashed passwords, role-based access, payment processing by a PCI-DSS Level 1 provider, and tamper-evident audit records for exams and certificates. If a security incident affects your personal data we will notify the Nigeria Data Protection Commission within 72 hours and inform you promptly.
8. Your rights
You may ask to access, correct, delete or export your personal data, object to or restrict processing, and withdraw consent. Email info@intelliscanstandardsinstitute.org from the address on your account; we respond within 30 days. You may also complain to the Nigeria Data Protection Commission — we ask that you contact us first so we can put things right. Note that certificate records and payment records are retained as set out above even after an account is closed.
9. Children
Our services are for adults and tertiary-level learners. We do not knowingly collect data from anyone under 16.
10. International transfers
Some of our providers process data outside Nigeria (for example, hosting in the United States or the EU). We rely on their contractual data-protection commitments for those transfers.
